Rules and Regulations of the CAF TRADESHO

1. DEFINITIONS

  • "Host," as used herein or subsequent regulations shall mean Commemorative Air Force.
  • "TRADESHO," as used herein shall mean those commercial activities conducted in conjunction with AIRSHO 2006.
  • "SPONSOR," shall mean the individual designated by the Commemorative Air Force to act on its behalf for the purposes of this contract.

2. INSTALLATIONS OF EXHIBITS:

Exhibits shall be installed by 7:00 p.m. on Friday prior to the opening of the TRADESHO. Any vendor not claiming his booth by this time will forfeit their claim to space and all monies. Any exception must be approved by the SPONSOR. There will be a CAF Representative on duty at the TRADESHO site.

3. EXHIBIT HOURS:

Exhibit hours shall be 7:30 a.m. to 6:00 p.m. on Saturday and Sunday unless prior notification of change is given by SPONSOR. It is expected that Vendors will keep their booths manned during official exhibit hours. VENDORS AGREE NOT TO DISMANTLE BOOTHS PRIOR TO OFFICIAL CLOSING OF EXHIBIT AREA.

4. EXHIBITIONS:

The names Commemorative Air Force and Ghost Squadron cannot be used by Vendor. A description of the items to be sold shall be forwarded with the Vendor's Contract and must be approved by SPONSOR. The SPONSOR reserves the right to prohibit the sale or display of any item(s) determined not to be in good taste by the SPONSOR in the exercise of its sole discretion and to demand the removal of any such item from any public display during the TRADESHO. In the event that a Vendor refuses to discontinue or remove from public display any item determined not to be in good taste by the SPONSOR, the SPONSOR may immediately terminate the Vendor Agreement and the Vendor will forfeit any and all fees paid under the Vendor Agreement.

5. MAINTENANCE:

Exhibit space shall be kept in good order by the Vendors and surrendered in the same condition as it was at the commencement of occupation. The SPONSOR shall sweep aisles once each day during the closed hours, but this service does not include dusting, or otherwise maintaining exhibits.

6. TRAILERS:

No trailer of any sort, except while loading or unloading, will be allowed inside the exhibit area. There shall be no exceptions to this rule. Outdoor exhibits needing storage trailers will be subject to approval.

7. CANCELLATIONS:

Any Exhibitor canceling for any reason after September 8th shall forfeit any monies paid to the Host.

8. SOUND DEVICES AND MOTION PICTURES:

The use of sound devices, disturbing to adjacent Vendors, megaphones, loud speakers, side-show tactics, and other undignified methods of attracting attention are prohibited. The use of sound films or narrated slides are acceptable after approval by the SPONSOR and when operated at a conversational level.

9. INSPECTIONS:

All installations are subject to approval of all inspection authorities having jurisdiction. Decorative materials must not constitute fire hazards. No decorative material may be nailed, tacked, screwed or otherwise physically attached to any part of the exhibit hall or any of the furnishings or fixtures therein. Decorative display materials may be attached by means of cords, ropes or ribbons or in any other way which may not mar, deface, or damage the exhibit hall or any of the furnishings or fixtures therein, provided written consent of the SPONSOR to the method of such attachment shall first be obtained.

10. ACTIVITIES:

  • Vendors must confine their operation at the exhbit to their individual spaces.
  • Circulars or advertising material may be distributed from the Vendor's space or receiving line.
  • The SPONSOR reserves the right to restrict exhibits which because of noise or any other reason shall interfere with the best interests of the exhibit as a whole.

11. SUBLETTING:

Vendors shall not sublet any space nor display any goods other than those manufactured or sold by them in the regular course of business. IN NO EVENT SHALL A VENDOR, IN-DOOR OR OUT, GRANT TO ANY PERSON OR COMPANY PERMISSION TO SHARE HIS EXHIBIT AREA OR TO OCCUPY ADJACENT AREAS WITHOUT EXPRESS PERMISSION FROM THE SPONSOR.

12. NON-EXHIBITORS:

Persons or organizations not having contracted witih the SPONSOR for occupancy of space in the exhbit area will not be permitted to display or demonstrate products, processes, or services, solicit orders or distribute advertising materials in the exhibit hall or on the said premises. Any infringement of this regulation will result in the prompt removal of the offender from the property designated for the use of the exhibits.

13. ASSIGNMENT OF SPACE:

In the assignment of space, the SPONSOR will be guided by the requirements of individual Vendors, and the decision of the SPONSOR in this regard shall be final. The SPONSOR reserves the right to rearrange the floor plan and relocate any exhibit.

14. FORFEIT OF EXHIBIT SPACE:

  • Full payment of exhibit space must be made under terms specified in this contract. The SPONSOR reserves the right, in the event of non-payment of rental by deadline specified herein, to reassign without refund such space to other Vendors.
  • Booths not claimed either by presence of exhibit material or Vendor personnel by 5:00 p.m. of the day preceding TRADESHO may be reassigned without refund unless prior arrangements have been made with the SPONSOR.

15. BOOTH PROTECTION:

The SPONSOR will lock the indoor exhibit area during closed hours. The outdoor exhbits will need to close the flaps on their tents or otherwise secure their exhibit. During show hours, vendors are required to keep someone at their booth or to secure their booth before leaving it. In no event does the SPONSOR assume liability for loss or damage by any cause.

16. LIABILITY:

Neither the Commemorative Air Force, their officers, employees, nor those acting for them shall be liable for any injury to person or property from any cause, and the Vendor on whose leased space or through whose fault or neglect the said injury shall have occurred shall indemnify and hold the Host or SPONSOR harmless against any claim arising out of any such injury.

17. INSURANCE:

IT IS RECOMMENDED BY THE SPONSOR THAT THE VENDOR PROTECT HIMSELF FULLY WITH REGARD TO ANY PROPERTY LOSS THROUGH FIRE, THEFT, OR PHYSICAL DAMAGE AS A RESULT OF THIS EXHIBIT. THE SPONSOR ASSUMES NO RESPONSIBILITY WHATSOEVER IN CONNECTION WITH SUCH LOSSES OR IN CONNECTION WITH INJURY TO THE EMPLOYEES OF THE VENDOR.

18. SERVICES:

All services or equipment required, except as specified, will be at the expense of the Vendor. The SPONSOR shall not be liable for any act or default of any supplier or service agency. The SPONSOR retains the right to refuse to admit any such supplier or service agency into the exhibit building.

19. VIOLATIONS:

Any violation of any of the terms and conditions of these regulations on the part of the Vendor shall, at the option of the SPONSOR, annul the Vendor Agreement, and such Vendor shall then forfeit to the SPONSOR all monies which may have been paid. In case of any violation of terms and conditions of these regulations on the part of any Vendor, right is hereby given the SPONSOR to terminate the Vendor Agreement at its option, and the SPONSOR may re-enter and take possession of the space occupied by the Vendor and remove all persons and goods at the Vendor's own risk and the Vendor shall pay all expenses in connection with such removal and all damages which the SPONSOR may incur and, in addition, forfeit all monies paid or due the SPONSOR on account of space rental. The Vendor waives the service of written notice to re-enter and terminate. The foregoing rights of the SPONSOR may be exercised with respect to the Vendor whose exhibit or whose conduct, or the conduct of the Vendor's employee(s) shall be deemed objectionable or inimical to the best interests of the exhibit at the sole discretion of the SPONSOR.

20. GENERAL:

All matters and questions not covered by these regulations are subject to the decision of the SPONSOR. These regulations may be amended at any time by the SPONSOR and all amendments that may be so made shall be equally binding upon publication on all parties affected by them as the original regulations.


SPONSOR RESERVES THE RIGHT TO REFUSE EXHIBIT
SPACE IN SUCCEEDING YEARS TO VENDORS NOT
ABIDING BY TRADESHO REGULATIONS.
